MyMind Studio Pvt Ltd ("MyMind Studio", "we", "our", or "us") operates the website mymindstudio.ai. We are a custom app and website development agency registered in India, serving clients globally.

2. Information We Collect

2.1 Information you provide directly

• Contact form submissions: name, email address, company name, project description, and budget information.
• Newsletter sign-ups: email address only.
• Calculator usage: inputs you enter into our browser-based tools (ROI calculator, cost estimator, color contrast checker) are processed locally in your browser and are not sent to or stored on our servers.
• Accessibility scanner and Revora: these tools work differently from the calculators above. When you submit a URL to the accessibility checker or to Revora, that URL is transmitted to our server, which temporarily retrieves the publicly available page — the same way a search engine would — analyzes it in memory, and returns the results to your browser. The accessibility checker does not currently store the URL you scanned, the page content, or the scan results after the response is sent. Revora does keep a record of each scan: the URL and domain scanned, the scores, the types of issues found, basic scan details, and a shortened one-way hash of the IP address the scan came from. Revora uses these records for the aggregate figures on its stats page. Our hosting provider (Netlify) keeps standard server logs, which include IP addresses, for a short period under its own retention policy. The scanner can only reach public pages: it refuses private network addresses and cannot log in to anything, so authenticated or unpublished pages cannot be scanned. If you purchase a paid report, we receive your email address and payment confirmation from our payment processor (Stripe); we do not see or store card details. If we begin retaining accessibility scan history, this policy will be updated first.
• WhatsApp inquiries: information shared via WhatsApp chat, subject to WhatsApp's own privacy policy.

2.2 Information collected automatically

• Analytics: We use Google Analytics 4 and Microsoft Clarity to collect anonymized usage data including pages visited, session duration, device type, and general geographic location (country/city level).
• Cookies: We use essential cookies (required for the site to function) and analytics cookies (to understand how visitors use our site). You can decline analytics cookies without affecting site functionality.
• UTM parameters: If you arrive via a marketing link, we may read UTM parameters from the URL to personalize the page and measure campaign performance.

3. How We Use Your Information

• To respond to inquiries and provide the free consultation you requested.
• To send project proposals, roadmaps, and invoices to existing clients.
• To send the newsletter (if you subscribed). You can unsubscribe at any time via the link in each email.
• To improve our website based on analytics data.
• To measure the effectiveness of our marketing campaigns.
• To comply with legal obligations.

We do not use your data for automated decision-making or profiling that produces legal effects.

4. Legal Basis for Processing (GDPR / UK GDPR)

For visitors in the European Economic Area, United Kingdom, or other jurisdictions with similar laws:

• Contract: Processing necessary to fulfill a contract with you (e.g., delivering a project).
• Legitimate interests: Analytics and site improvement, where this does not override your rights.
• Consent: Newsletter subscriptions and non-essential cookies.

5. Data Sharing

We do not sell, rent, or trade your personal data. We share data with:

• Google LLC — for Google Analytics 4 and Google Tag Manager. Data may be transferred to the US under Google's standard contractual clauses.
• Microsoft Corporation — for Microsoft Clarity (heatmaps and session recordings). Clarity anonymizes session recordings; no personally identifiable information is captured in recordings.
• Email service providers — to send newsletters and transactional emails.
• Payment processors — if you make a payment, your payment data is handled directly by a PCI-compliant payment processor; we do not store card details.

6. Cookies

We use the following types of cookies:

• Essential cookies: Required for navigation and security. Cannot be disabled.
• Analytics cookies: Google Analytics and Microsoft Clarity. You may decline these via the cookie banner when you first visit.

Most browsers allow you to control cookies through their settings. Disabling analytics cookies will not affect your ability to use the site.

7. Data Retention

• Contact form data: Retained for up to 3 years from last contact, or until you request deletion.
• Newsletter: Retained until you unsubscribe.
• Analytics data: Retained per the default retention periods of Google Analytics (14 months) and Microsoft Clarity (90 days).
• Client project data: Retained for the duration of the contract plus 5 years for legal and accounting purposes.

8. Your Rights

Depending on your location, you may have the right to:

• Access the personal data we hold about you.
• Correct inaccurate data.
• Delete your data ("right to be forgotten").
• Restrict or object to processing.
• Data portability — receive your data in a structured format.
• Withdraw consent at any time (without affecting lawfulness of prior processing).
